Experience and Skills:

The candidate must have -
  • Minimum Matric / Grade 12 Certificate.
  • An Administrative Diploma or similar.
  • At least 6-8 years experience in the office administration field.
  • Relevant experience in the consulting environment would be an advantage.
  • Work independently with minimum supervision in a team environment.
  • Proven advanced MS Office knowledge (PowerPoint, Excel and Word).
  • Experience with ISO 9001 Quality System.
  • An understanding of project finances / budgets.
  • Excellent organisational skills, tact, diplomacy, and the ability to maintain discretion and confidentiality in sensitive matters and display excellent judgment.
  • Proven time management between multiple tasks and different activities.

Other skills that would be an advantage -
  • Accounting software and MS Project

Duties and Responsibilities:
  • The prime role of the Office Administrator is to support the WCAPE SBU in the leadership and supervision of business services administrative duties, including compilation and monitoring of revenue, expenditures, accounts payable and accounts receivable.
  • Invoicing projects monthly.
  • Follow up on project debtors and assist with timely collections.
  • Ensure that creditors are paid in a timely manner and that requisitions are completed accordingly.
  • Compilation of the departments monthly financial reporting.
  • Providing administrative support to departmental Partners and the SBU Partner.
  • Stay abreast of the various clients tender and invoicing systems / platforms.
  • Assist with the compilation of tenders and their timely submission.
  • Assist with the Health and Safety procedures and Risk assessments on projects and for the SBU.
  • Provide training and coordinate training for all SBU employees on SRK processes and systems.
  • Arrange travel logistics for staff on training, conferences, workshops and projects.
  • Promote and monitor implementation of SRKs ISO 9001 Quality System.
  • General office coordination and SRK internal communication on procedures and policies.
